What cost benefits are there?

As postage costs alone are about 70% of total mailing costs, we feel that this is the first cost to attack. We identify the most cost effective discounted service to use for each mailing. On offer are all the Royal Mail discounted services and additional we have very attractive agreements with tried and trusted third party providers. We expect to save our clients 10% of postage costs, which is a significant amount. Additionally we analyse the data and suppress and unrequired documents, thereby saving both post and processing costs. Can you deliver and store my documents electronically?

Yes we can.

Can you supply, store and manage our stocks of paper and envelopes?

Yes we can.

How will I know my data is secure?

Your data is protected every step of the way, we use secure encrypted links to transfer the data into us and once with us we protect the data with external Firewalls. Even internally the data is protected as it goes through each stage of the process and is only accessible to the staff that need to see it. Every member of staff is made fully aware of the need for security and this forms part of their contract of employment. Prime Document are registered under the Data Protection Act.

How will I know when my documents have been despatched?

We can send you an automated email once the job is registered as despatched on our system.

What involvement is required from us?

Very little, just send us the data we do the rest.

What happens if we send you the wrong file by mistake?

Don’t worry we would spot this with our audit checks and notify you. When you send us the data file you also send us an audit check file (normally the number of documents and their combined value). We compare the file totals against the audit file totals and check they match. We also compare the byte size of the file against the previous ten files submitted and if it is identical to any of these files, we hold the process and check.
