Data Transferred

Data is submitted to Prime Document over secure FTP links. This data is processed and print streams are generated for the production and mailing of hard copy documents in the normal way.

Data Processing

This data however is also processed through bespoke routines that generate PDF files each with its own XML index file containing index keys such as Account number and name, Invoice number, post code or any other field that our clients may find useful. These files are then ingested into a secure remote server.

Online Access

Once resident on this server they are available for viewing on a secure user name/password basis over 128k encrypted links. Users will simply log onto the system over the Internet and access the documents by keying in index fields. These can be specific document numbers like invoice numbers or a whole range of Boolean search facilities.

e-Billing

If more than one document type is within this system results will contain all document types for the given search criteria. Additionally and on a selective basis documents can be ebilled to the recipients and their response monitored and reported on by the system.

Typical Uses

This is an excellent product for many documents but a good example would be Sales Invoices. Once the paper invoices hit the desks of the clients an increase in telephone calls will be experienced into the Credit Control department.

Credit controllers can log into the system and display the invoice in question on their desktop. This enables the credit controllers to view an exact copy of the invoice whilst discussing the query with the client. In addition to this the credit controller can print, fax or email the documents.
