A heavily regulated market, several big brands and a rapidly expanding customer base was leaving the team at Mobilize struggling to post an enormous quantity of mail on a daily basis.
Prior to working with Prime Document, the Mobilize customer service team would print all customer documentation in-house, to be sent by the internal post-room service, ready to be mailed out. The documentation would include statutory notices, welcome letters, arrears letters and notifications for customers approaching the end of their agreements. This was in addition to the regular requirements of each dealership or corporate customer – some would require monthly invoices, others would need annual agreement statements. One thing was clear – the volume of documentation was enormous and was continuing to grow.
Experiencing rapid growth, the team at Mobilize needed a new solution. The office post-room was manned by one member of full-time staff, something that was fast becoming untenable due to the high volumes of mail. To add to the complexity of the situation, each brand required specific headed paper and branded envelopes – for instance Renault Finance had different stationary to Infiniti Finance. This made the process of ordering stationary, printing and posting mail even more complex.
Our Solution
Instead of an internal post-room bursting at the seams, and boxes of brand-specific headed stationery for some 350,000 customers, the customer services team simply create the necessary documents and put them onto Prime Document system ready to be batched overnight.
The system takes the batches of letters that need to be posted and sends them to Prime Document on a secure server. At Prime Document, we then check the letters, print them and after confirming the quantity with Mobilize, post the letters on the same day.
